====== Admin panel: User (management.php) ====== {{:playground:users.jpg?80&direct}} This is the area in which you can: * add new users to your installation * allocate usernames and passwords to users * edit their username, password and email addresses * remove users * allocate management roles to users * manage active and inactive users ===== Automatically authenticated users ===== If your installation of Xerte uses Single Sign On (SSO) you can't make changes to their account here, but you will be able to view the user accounts, and allocate users to admin roles. ===== Manually authenticated users ===== For manual control of user accounts, you are able to add users to your installation. If no users have yet been added to your installation, this form will appear empty. If not the entry for first user (by surname A-Z) will be shown. To **add** a new user, replace the information in the text entry boxes with information about your new user. You will have to allocate a password for the new user, and you should note this down (for example in a secure Excel file), as it will not be displayed in the user record here after creating the user. When you have entered all the information click on **Create User**. Users can change their password, if they wish, through a link in the Workspace. To **edit** the personal information for a user, find their record by using the drop-down at the top of the page, edit the record and then click on **Modify user**. Note that a username cannot be modified (to do this you would have to delete the whole record and create a new one, so you should avoid making such a change after the user has created projects). To **remove** a user's account, find their record by using the drop-down at the top of the page, click on **Delete**. If they have projects you want to keep, you can transfer ownership of these projects through the **Users projects** tab. ===== Manage user roles ===== In pre-3.13 versions of Xerte, there was only one single admin account which had to be shared by anyone who needed admin access. The admin account had the ability to access and control every aspect of the Xerte installation available via the management page. **New in 3.13**, selected users can be given a variety of administration roles, in order to share the administrative features as needed. Please see [[https://xot.xerte.org.uk/play.php?template_id=81#v313section8|version 3.13 release notes]] for details. ===== Manage users ===== **New in 3.14**, users can now be listed as 'active' or 'inactive'. Setting user accounts to inactive simply hides those users from the list of users when sharing projects etc. but does not prevent them logging in if they still have an authorised account, whether the account is externally or manually authenticated. Administrators can manually record accounts as 'inactive' or a can use the setting to force 'inactive' based on last login, e.g. if you add the date of, 1 January 2023, all users who have not logged in since that date will automatically be set to inactive. **Note: As soon as the user logs in again, their account will become active again.** Please see [[https://xot.xerte.org.uk/play.php?template_id=81#v314section7|version 3.14 release notes]] for details. ===== Search users ===== **New in 3.14** it is possible to use the list menus on the users page to either browse and select a user or to type all or part of their name and then select them.\\
